Bigfoot Crane Company Inc. is seeking a full-time temporary Training Academy Administrative Assistant to join our Academy team at the head office in Abbotsford, BC. The successful candidate will report to the Training Academy Manager and be responsible for ensuring the academy’s administrative, sales, and operational aspects run smoothly. We’re hiring an administrative assistant who is reliable, experienced, knowledgeable, patient, and looking for a rewarding career as an assistant.

Operations

  • Correspond with customers and confirm requirements, costs and training dates.
  • Ensure training schedule is accurate, and instructors have all required information.
  • Provide training and travel quotes to customers across Western Canada.
  • Order training materials from various suppliers.
  • Schedule crane operator certification assessments.
  • Greet students and show them to the training room.
  • Ensure the training room has adequate cleaning and coffee supplies.
  • Track training crane and hoist annual certification dates to avoid expiry.

Sales

  • Provide course information on incoming phone calls and emails.
  • Speak confidently about our training options with customers.
  • Prepare quotes for training and travel expenses.
  • Provide innovative solutions that fit the customer’s needs.
  • Respond to Lead Notifications in a timely manner.
  • Assist walk-ins with course information and brochures.

Administrative

  • Invoice jobs based on course details and quoted rates.
  • Answer incoming landline calls and direct them accordingly.
  • Assist walk-ins with course information and brochures.
  • Forward technical questions to instructors or academy manager.
  • Arrange instructor travel arrangements.
  • Correspond with customers to schedule training.
  • Submit BC Hydro invoices through Ariba Network.
  • Mail training documents to customers and suppliers.
  • Create Training Certificates and email them to customers.
  • Maintain inventories and print course materials when required.
  • Process course deposits and payments.
  • Email deposit receipts and tuition balance invoices to registered students.
  • Send course details and reminder emails for upcoming courses.
  • Ensure course seats sold match available seats for sale on Shopify.
  • Manage Shopify orders and forward course details to customers.
  • Maintain solid relationships with major clients and AP contacts.
  • Correspond regularly with the marketing department to update the website.
