We are looking for candidates to assist the parts department with all aspects of physical inventory management, including but not limited to purchasing, shipping and receiving, sourcing, returns, and overall warehouse upkeep and organization. The incumbent must be service focused and driven to meet or exceed the expectations of all customers, both internally and externally. The candidate must possess strong communication skills and have a solid understanding of parts acquisition, inventory management, and counter sales. The ability to contribute to department growth and generate sales is a key requirement of this position.

Parts and Inventory:

  • Source parts in a timely manner for customers, inside sales, the service department, and field technicians
  • Provide ongoing communication and follow-up on part requests, including accurate ETAs and status updates
  • Manage relationships with multiple vendors, maintaining knowledge of pricing, availability, quality, and lead times
  • Build and maintain strong supplier relationships to ensure reliable service, priority support, and timely delivery
  • Collaborate with field technicians to review repair requirements and confirm accurate timelines, parts needs, and job readiness
  • Create new item cards and maintain existing ones with accurate details, including vendor part numbers, descriptions, item references, units of measure, and costing
  • Ensure item cards are kept up to date with accurate minimum and maximum levels for both new and existing items, including seasonal adjustments and demand trends
  • Prepare and process purchase quotes and purchase orders, ensuring accuracy and alignment with requirements
  • Maintain a clean, organized, and clearly labeled parts cage in accordance with the master inventory plan, with all items properly stored and faced
  • Receive, inspect, and verify incoming parts against packing slips and purchase orders, and enter all transactions accurately into the inventory system (Microsoft Dynamics 365 Business Central)
  • Monitor backorders and open purchase orders, and proactively follow up to ensure timely fulfillment
  • Process returns, core returns, and warranty claims with vendors, including required documentation and follow-up
  • Perform regular cycle counts and support annual physical inventory counts, investigating and resolving discrepancies
  • Maintain accurate documentation and complete all required paperwork related to parts and inventory management
  • Ensure compliance with all company policies, procedures, and safety requirements
  • Support field technicians with tools, consumables, and job-specific materials to ensure readiness and efficiency on site
  • Travel between Abbotsford and Agassiz location from time to time to deliver parts, re-stock items, etc. Use of company vehicle provided

 

Sales:

  • Assist customers with parts requests by preparing accurate quotations and following up to close sales
  • Grow parts counter sales through proactive communication with new and existing customers
  • Identify opportunities to promote products and services to customers over the phone and during interactions
  • Prepare parts and service quotations based on customer equipment needs, and actively follow up to secure the sale

 

Warehouse and Shop:

  • Manage best practices regarding paperwork, cost control, and cross border compliance
  • Operate forklifts and material handling equipment as required for shipping, receiving, and staging duties
  • Manage and oversee preparation of inbound and outbound staging area for technicians
  • Maintain shop and warehouse organization for professionalism, maximum efficiency, and safety
  • Support overall building upkeep, including maintaining warehouse cleanliness and organization, and assisting with the general tidiness of locker rooms and bathroom areas in the shop
  • Conduct shop inspections.
  • Ensure the shop is properly secured and locked at the end of each day
  • Actively participate in continuous improvement initiatives, identifying and implementing opportunities to improve warehouse and shop operations

 

Safety:

  • Retain forklift ticket to operate a forklift within the shop and warehouse
  • Follow all company safety procedures, including proper PPE use and safe handling, lifting, and storage of materials
  • Keep work areas clean and hazard-free, and report any unsafe conditions, incidents, or near misses promptly

 

Coverage:

  • Provide backup coverage for the Sales & Warehouse Assistant and Senior Parts Coordinator during breaks, vacations, and other absences
  • Assist with general warehouse and operational support as needed to ensure continuity of work

 

Other ad hoc duties as assigned

  • Valid BC Class 5 drivers license with clean drivers abstract
  • Strong organizational and analytical skills, good judgement, and the ability to manage a variety of activities.
  • Keen understanding of tools, parts, electrical and mechanical system components including technical drawings
  • Excellent interpersonal skills with the ability to form strong relationships with coworkers, clients and suppliers.
  • Independent problem solver capable of making decisions in real-time to maintain efficient flow of work. Identifies problems and provides solutions to remedy them.
  • Experience working with Preventative Maintenance programs.
  • Experience with tag-out programs for faulty tools and equipment.
  • Efficient use of computers and programs like MS Office, CRMs, equipment management software.
